How Kairos Academy Tech collects, uses, protects and shares information across its educational ecosystem.

Effective: July 20, 2026 · Last updated: July 20, 2026

Plain-language summary. Kairos uses information to provide and secure educational services. We do not sell personal information, use student data for targeted advertising, or allow Google user data to be used for advertising. Schools and families retain the rights provided by their agreements and applicable law.

1. Who we are and scope

Kairos Academy Tech (“Kairos,” “we,” “us”) provides educational portals for students, families, educators, school leaders, tutors and authorized ecosystem partners. This Policy applies to kairosacademytech.com, its portals and related services. A school, district or other organization may separately control education records processed through Kairos; in that setting Kairos acts as its service provider or school official under the applicable agreement and instructions.

2. Information we collect

  • Account and identity: name, email address, authentication identifier, profile image, language, role and account status.
  • School and family relationships: school, class, grade, section, teacher, student and guardian memberships, invitations and permissions.
  • Educational activity: courses, assignments, submissions, feedback, scores, progress, attendance or intervention information when a school enables those features.
  • Content and communications: files, messages, support requests and materials users or institutions provide.
  • Technical and security data: device/browser information, IP address, timestamps, session and security events, cookies or similar identifiers needed for authentication, fraud prevention and service operation.

3. Google user data

When a user chooses Google Sign-In, Kairos requests only the basic OpenID Connect scopes shown during authorization: identity, name, profile image and email address. We use this data to authenticate the user, create or connect the correct Kairos account, display the user’s identity and route the user to the authorized portal. Kairos does not use Google user data for advertising, does not sell it, and does not transfer it except to service providers needed to operate the service, an institution authorized to administer the account, when the user directs us, or as legally required. Kairos’s use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including its Limited Use requirements.

4. How we use information

  • Provide, personalize and maintain authorized educational workflows.
  • Authenticate users, enforce roles and protect accounts.
  • Connect students with courses, educators and guardians.
  • Support schools, respond to requests and communicate service notices.
  • Diagnose reliability, prevent abuse and satisfy legal obligations.
  • Improve the service using aggregated or de-identified information where appropriate.

5. How information is shared

We may share information with the school or organization responsible for an account; with authorized teachers, guardians or users as required by the service; and with contracted infrastructure providers such as Google Cloud/Firebase that process data for Kairos. We may also disclose information to comply with law, protect safety or rights, or in a corporate transaction subject to appropriate protections. We do not sell personal information or student data and do not share it for cross-context behavioral advertising.

6. Students, FERPA and children

Kairos is designed to support schools’ obligations under the Family Educational Rights and Privacy Act (FERPA) and similar student-privacy laws. Schools determine legitimate educational access and remain responsible for required notices and consents. For children under 13 in the United States, use must be authorized by a parent/guardian or by a school acting within the authority permitted by the Children’s Online Privacy Protection Act (COPPA). Parents or guardians may request access, correction, deletion or an end to further collection by contacting the school and Kairos. Kairos does not knowingly invite a child to provide more information than reasonably necessary to participate.

7. Retention and deletion

We retain information only as long as needed to provide the service, meet institutional instructions, preserve legitimate academic records, resolve disputes, secure the platform and comply with law. Retention differs by record and contract. When deletion is authorized, we delete or de-identify information using reasonable measures, subject to backups, legal holds and records that an institution must retain.

8. Security

Kairos uses role-based access controls, authenticated service boundaries, encryption in transit and provider-managed encryption at rest, logging and other administrative, technical and organizational safeguards. No system is completely secure; users must protect their credentials and notify us of suspected unauthorized access.

9. Choices and rights

Depending on location and relationship, users may request access, correction, deletion, portability, restriction or objection. Students and guardians should normally begin with their school because the school may control the record. Requests may be sent to kairosacademytech@gmail.com. We may verify identity and authority before acting. Users may revoke Google access through their Google Account permissions, but revocation may limit sign-in or service functionality.

10. International use and third-party services

Information may be processed in the United States and other locations where our providers operate, subject to applicable safeguards. Kairos may link to or embed third-party services, including Google authentication and YouTube; their own policies apply when users interact with them.

11. Changes and contact

We will post material updates here and update the date above. When required, we will provide additional notice or obtain consent. Privacy, parental and school inquiries: kairosacademytech@gmail.com. Operator: Kairos Academy Tech, New York and New Jersey, United States.
